YMCA OF COASTAL GEORGIA JOB DESCRIPTION Job Title: Program Financial Administrator Branch: Pryme Tyme FLSA Status: Full-Time Department: Child Care Reports to: Pryme Tyme Director Revision Date: 11/3/2017 POSITION SUMMARY: The Pryme Tyme Financial Administrator will oversee branch financial management and enrollment. They will provide day-to-day operating functions essential to the ongoing success of the Pryme Tyme program. This position will also serve in multiple roles to assist with the daily operations. In addition, every position in the YMCA of Coastal Georgia, Inc is responsible for upholding the Judeo-Christian principles that are central to our mission by modeling behaviors that exemplify the four pillars of character - caring, honesty, respect and responsibility. ESSENTIAL FUNCTIONS: 1. Will manage the Temporary Assistance for Needy Families reporting and data collection process to meet the necessary requirements of the Federal Grant. Working closely with the Associations’ Controller to provide necessary documentation for the TANF grant. 2. Will manage overall enrollment in the Pryme Tyme program. Including registration, transfers, withdrawals, site rosters, and site waitlist. 3. Will manage all Childcare and Parent Services accounts for the Pryme Tyme branch. 4. Will manage branch financials, including weekly tuition deposits, credit card transactions, End of Shifts, and returned checks. Working with sites to ensure proper weekly tuition collection. 5. Will be lead point of contact for participant accounts. Including past due accounts, credits, and program verification. 6. Will lead annual tax statement process for families. 7. Answer phones, file paperwork, organize materials, receive records, and receive payments and other clerical duties related to daily Pryme Tyme operations. 8. Provide for the proper storing and maintaining site records including child registrations according to YMCA policy and as required by the TANF grant. 9. Provides for upkeep of assigned program facilities and equipment and ensures the physical environment supports healthy living. 10. Assist in the Annual Campaign for the YMCA of Coastal Georgia. 11. Maintain a positive and cheerful attitude with staff, parents and children.
SUPERVISORY RESPONSIBILITIES: The Program Financial Administrator will assist in overseeing daily office operations. Working with clerical staff to support the administrator duties. QUALIFICATIONS/CERTIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Two years related experience preferred, as an office or accounts manager in a related field. 2. Bachelor’s degree preferred. 3. Must have a valid driver’s license and ability to travel to various school sites as participating in the TANF grant. 4. Must be able to effectively use office equipment such as fax machines, copiers and personal computer operations including Microsoft Word and Excel. Ability to answer phone calls and take credit card payments as needed. 5. Typical requirements within 30 days of hire include completion of: Child Abuse Prevention for Supervisory Staff; Working with Program Volunteers; CPR; First Aid; AED; Blood borne Pathogens; annual state licensing training. 6. Must be able to fulfill criminal background check and obtain authorization to work with children as required by Bright from the Start regulations. 7. Must be at least 21 years of age. 8. Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
